We are seeking a full time Sales Coordinator/Rooms Controller.  The ideal candidate should possess administrative experience with a dynamic personality to support the sales team. Duties will include but are not limited to answering phones, processing group reservations, contracts and proposals, working with groups utilizing our meeting rooms and overall office support.  Marriott- and hotel experience is favored. 

Major functions:

The primary responsibilities for the Sales Coordinator/Rooms Controller include but are not limited to:

  • Check for new opportunities every hour in Marriott system as Lead Catcher (CI/TY)
  • Answer the main phone/qualify & distribute inquiries
  • Assist walk-ins
  • Book boardroom meetings
  • Gather guarantees from client and enter into system
  • Print and reconcile Event Revenue Summary Report/Events Report
  • Handle manage the flow of POP-UP and REVISED Event Orders as needed
  • Remit Hotel check deposits
  • Cross-check and actualize events within systems
  • Make booking files
  • Post Marriott Bonvoy Rewarding Event Points
  • Purge past events and file
  • Query Change Log and distribute at the end of each day
  • Assist Sales Team, GM, AGM with any administrative tasks or projects
  • Reconcile WHG Sales System (SPUR) vs. daily Manager’s Report
  • Catch overflow incoming calls
  • Build groups in in Marriott’s reservation system (MARSHA)
  • Build groups in in Hotel’s property management system (FSPMS)
  • Add new bookings to SPUR
  • Create group cover sheets
  • Load group rooming lists
  • Handle group reservation changes
  • Send group confirmation lists
  • Account reconciliation
  • Pend commission through Marriott Centralized Commissions
  • CI/TY Actualizer and CI Lead Catcher
  • Inputs Actual Numbers into SPUR

Job Requirement
  • High school diploma required
  • Previous sales experience preferred
  • Previous Microsoft Office experience preferred
  • Previous Marriott experience highly desirable
  • Optimum candidate will have MARSHA experience
  • Ability to read, write, speak and understand English
