Hands on professional and understand Microsoft Windows, engineering and maintenance operation, administration, coordination, work order system and safety. Knowledge in procurement process and contractor management.
Willing to take engineering shift duty operation when required and act as Emergency Response Team.
In charge of engineering operation in the absence of Chief Engineer.
Work closely with Human Resources in relation to Work Health and Safety.
Coordinate with other departments using telecommunication devices in order to respond to requests and resolve
maintenance issues and to put rooms needing maintenance out of service.
Coordinate with other departments in the event of system shut down, repair or maintenance.
Maintain purchase orders log and file purchase orders upon payment, ensuring that orders match packing slips.
Assist the Chief Engineer in invoice processing and documentation.
Encode data and keep all the records of utilities and monitor usage.
Check and file contractor’s service report and in-house maintenance checklist. Inform the Chief Engineer of any maintenance that require attention.
Keep records of all the compliance certificates, service and audit reports.
Populate engineering weekly/monthly expense and utility report.
Monitor BMS system at minimum access level.
Assist the Chief Engineer in tendering, sourcing out quotations and review process.
Coordinate with Housekeeping or Front Desk to put rooms needing maintenance out of order.
Participate in all audits related to engineering, fire life safety, hygiene, food and energy.
Assist the Chief Engineer in staff rostering preparation, training coordination and schedules, leave application, and any HR-Engineering related trainings and meetings
Participate, when required, in any administrative and engineering trainings for the use of systems related to engineering, finance and HR.
Participate in Energy and Fire Life Safety programs and attend meetings when required.
Control contractor’s access in the premises and make sure safety induction and other safety requirement are in place before work is carried out.
Control and issuance of keys to staff and contractor.
Assist the Chief Engineer in spare part inventories, control and issuance.
Maintain all the engineering drawings and manuals in order and up-to date.
Assist in preparing payroll of hourly employees (e.g., ensure accuracy, adjustments, and distribution).
Ensure employee compliance with company standards and policies and external regulations (e.g., safety, OSHA, department-specific procedures such as food standards).
Assist to ensure that hourly employees have the necessary resources to effectively perform their jobs (e.g., supplies, equipment, and inventory).
Follow all company and safety and security policies and procedures; report maintenance problems, safety hazards, accidents, or injuries; complete safety training and certifications; and properly store flammable materials.
Ensure uniform and personal appearance are clean and professional.
Ensure adherence to quality expectations and standards.
