Job Summary


Respond to questions, requests, and concerns from employees and management regarding SVQ programs, policies and guidelines. Maintain confidentiality and security of employee and property records, files, and information. Manage your own workload, you will create and maintain filing systems. Ensure accurate maintenance of all employee records and files. Create and type office correspondence using a computer. Distribute and route mail. Order and track Human Resources office supplies and forms. Answer phone calls and record messages.

 

Provide a consistent high standard of administration and support to the HR Office and ensure a timely delivery and achievement of apprenticeship programs to a range of candidates at different abilities and ages. Undertake all training related duties including administration, tracking and delivering of In The Beginning Training, Induction and Company Statutory Training.Follow all company and SQA and SDS policies and procedures; ensure personal appearance is clean and professional; maintain confidentiality of proprietary information; protect company assets. Report accidents, injuries, and unsafe work conditions to manager. Welcome and acknowledge all guests according to company standards. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Ensure adherence to quality expectations and standards. Enter and locate work-related information using computers. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

 

                       

CRITICAL TASKS

 

Training Experience

  • Preparation and implementation of departmental and hotel training plans

  • Delivery and evaluation of Marriott Core Training Programs

  • Co-ordinate, support and resource department trainers – including chairing monthly training meetings

  • Overall monitoring of department short takes

  • Tailor making and delivering training programs for specific hotel needs

  • Departmental training audits

  • Organize, monitor and evaluate work placements and management trainees

  • Pre-course and post-course organization and evaluation administration

  • Be aware of statutory regulations in respect of Health and Safety, Food Hygiene and Fire

  • Any other reasonable request by Management

Safety and Security

  • Report work related accidents, or other injuries immediately upon occurrence to manager/supervisor.

  • Identify and correct unsafe work procedures or conditions and/or report them to management and security/safety personnel.

  • Follow company and department safety and security policies and procedures to ensure a clean, safe, and secure environment.

Policies and Procedures

  • Protect the privacy and security of guests and coworkers.

  • Maintain confidentiality of proprietary materials and information.

  • Follow company and department policies and procedures.

  • Ensure uniform, nametags, and personal appearance are clean, hygienic, professional and in compliance with company policies and procedures.

  • Perform other reasonable job duties as requested by Supervisors.

Guest Relations

  • Assist other employees to ensure proper coverage and prompt guest service.

     

Communication

  • Talk with and listen to other employees to effectively exchange information.

  • Speak to guests and co-workers using clear, appropriate and professional language.

  • Discuss work topics, activities, or problems with coworkers, supervisors, or managers discreetly and quietly, avoiding public areas of the property.

  • Prepare and review written documents (e.g., daily logs, business letters, memoranda, reports), including proofreading and editing written information to ensure accuracy and completeness.

  • Answer telephones using appropriate etiquette including answering the phone within 3 rings, answering with a smile in one's voice, using the callers' name, transferring calls to appropriate person/department, requesting permission before placing the caller on hold, taking and relaying messages, and allowing the caller to end the call.

  • Performs other related tasks as assigned by management

  • Respond to questions, requests, and concerns from employees and management regarding company and Human Resources programs, policies and guidelines.

  • Inform Human Resources management of issues related to employee relations within the division or property.

Administration

  • Maintain confidentiality and security of employee and property records, files, and information.

  • Answer phone calls and record messages.

     

Skills and Knowledge of Scottish Qualification Verification

  • Strong communication skills (verbal, listening, writing)

  • Previous user of Outlook, Word, Excel, PowerPoint

  • Excellent typing speed and accuracy of spelling and grammar, layout and content formation essential

  • Highly organized and efficient approach required

  • Attention to detail

  • Ability to manage varying needs and prioritizing to ensure best business results

  • Self-motivated and ability to work on various projects

     

    Scottish Vocational Qualification Assessor

  • Planning and Tracking candidate’s progress

  • Managing caseload of candidates to ensure qualification is achieved in a timely manner

  • Ensuring a safe and healthy working environment at all times

  • Supporting and mentoring apprentices to help them with a timely completion of their learning aims and qualification

  • Observe, mark, assess and review work produced by the apprentices to ensure it is of the accepted standard and meet the learning aims and criteria of the awarding body

  • Provides information relevant to apprenticeship completion to the HR Managers/DHR

  • Partner with the candidate’s direct supervisor to enable them to play a proactive role in supporting and helping the candidate apply skills in the workplace 

     

  • Training and Development: Supports the property training business plan to ensure the delivery of new hire orientation, service training, compliance and safety training and leadership development training to all associates

  • Associate Relations: Administers policies and procedures to ensure associates are treated fairly and equitably. Supports and embeds a culture that embraces the brand service strategy and supports the present day business environment

  • Human Resources: Creates and sustains a work environment that embraces the brand’s culture and focuses on fair and equitable treatment and associate satisfaction to enable business results
