Job Summary
  • Ensure that the St Regis policies and procedures regarding keys and store security are enforced at all times.
  • Make sure goods received match to what was ordered.  All beverage and general notices/invoices must have a purchase order number on them.
  • Ensure that all incoming merchandise is undamaged, in quantities as indicated in the accompanying invoice/delivery docket and meets the Hotel standards for quality.
  • Spot check temperatures of minimum 5 items per day to be made on food deliveries, in particular high-risk foods. These are to be noted on check-list.  Items that do not comply to be returned and supplier advised.
  • Check market list/food order/beverage order/purchase order for quality and quantity and price.  Ensure expiry dates are checked. 
  • Assist in preparing credit claims as necessary i.e. for goods overcharged/short delivered. Credit note must be attached to copy of the invoice.
  • Review price variances between the invoice and purchase order, the Purchasing Officer to be advised and to investigate and where required obtain approval for the variance. All beverage and general orders must have an invoice attached.
  • Make note of price increase/changes in size/specification of goods and pass onto Purchasing to be checked as quickly as possible.
  • Receiving into Store, Issuing and Correct Storage of Food, Beverage and General Items.
  • Liaise with receiving area to collect food and beverage items from loading dock and to place into respective storeroom.
  • Follow up with Purchasing Officer on any items on the food orders, Purchase Order not received in due time
  • Maintain established maximum/minimum stock levels of all items under stores responsibility.
  • Issue inventory items on a first in first out basis as per the quantities listed on an appropriately approved store requisition form to the respective F&B kitchens and outlets.
  • Ensure department signs the store requisition form to evidence receipt of goods and maintain filing system of completed store requisition forms.
  • Inform Director Of Finance and Cost Controller of any instances of theft, breakage or obsolete/damaged stock.
  • Maintain a list of authorized signatories who may sign requisitions and place this list in a prominent place.
  • Initiate the re-ordering of goods for the beverage store, food dry store and food cold store and submit purchase order for approval as per the hotel’s purchasing policy. Quantities ordered should be sufficient to maintain optimum quantities on hand to meet the business’ needs.
  • Assist in performing monthly stocktakes of beverage stores and update inventory system for results of stocktake.
  • Maintain storerooms & storeroom shelving in a clean and hygienic condition in line with St Regis ’s food handling safety standards.
  • Immediately report any malfunction of cool rooms.


  • A minimum 2 years experiences in the similar role.
  • Computer literate.
