JOB SUMMARY

 

Provides support to the Areas Directors of HR and the VP HR Europe.  Performs other related tasks as assigned by management and team.  Compliant with Marriott International Hotels Ltd London Office policies and procedures.

 

SCOPE/BUISNESS CONTEXT

  • A Full Time position based at the Fetter Lane Office

  • Working hours as required to do your job but normally not less than 40 hours per week

 


CANDIDATE PROFILE  

 

Experience – Required

  • Previous administrative experience supporting a senior executive and /or team essential

  • Previous experience in dealing with confidential/extremely sensitive material essential

Experience – Preferred

  • Knowledge of Marriott International Key Brands and Strategies with a strong administrative background – ability to work using their own initiative, ability to effectively communicate with all associates

  • Flexibility of a role dependent on business needs

  • Experience working in an HR department  

Skills and Knowledge – Required

  • Exceptional communication skills  (verbal, listening, writing)

  • Strong skills in Outlook, Word, Excel and PowerPoint

  • Excellent computer skills—speed and accuracy of spelling and grammar

  • Highly organized and efficient/flexible approach required as business objectives can rapidly change

  • Ability to manage varying needs and prioritizing to ensure best business results

  • Ability to design and implement successful tracking of documents and spreadsheets

  • Strong customer development and relationship management skills

  • Ability to design and implement successful tracking of documents and spreadsheets

  • Ability to manage and balance own time

  • Ability to develop and maintain relationships with associates and leadership teams

  • Can work in a fast paced, ever changing environment

  • Filing and coordinating a variety of documents, appointments etc.

  • Updating and distributing relevant information databases as required

  • Processing incoming/outgoing mail

  • Updating contact databased and Email distribution lists

  • Budget control: Processing invoices and OFB spreadsheets as required

  • Booking group travel

  • Meeting management (booking dates, locations, collating agenda items and minute taking)

  • Maintaining office supplies for the department 

  • Maintaining, collating and distributing relevant team activity reports 

 


Education or Certification

 

        High School completion or equivalent required; preferably around administration and














          secretarial qualifications

The following are specific responsibilities and contributions critical to the successful performance of the position:


Talent Acquisition

  • Supports the coordination of ADHRs and HR Leader interview schedules and processes as required

  • Supports the coordination of Europe Offices senior team recruitment as required

     

    Total Compensation

  • Assists with any Compensation and Benefits data compilation 

     

Human Resources – General 

  • Handles telephone enquiries for the HR Team, where applicable redirects to appropriate resource

  • Processes expense reports for ADHRs & VP HR as required

  • Processing invoices

  • Tracks travel and vacation schedules for ADHR team and VP

  • Maintains, collates and distributes all relevant activity reports

  • Coordinates venue, agendas and minutes for various team meetings 

  • Coordinates all travel and hotel accommodation arrangements for ADHR & VP HR

  • Sets up conference calls and necessary information technology, web-conferencing for relevant meetings

  • Maintains diaries and schedules appointments and meetings for the VP HR & ADHR Team

  • Responds to various requests for help and information

  • Coordinates team recognition celebrations for VP HR and ADHRs

  • Distributes communications on behalf of ADHRs and VP HR to the Europe HR Team

  • Works with ADHR team to managing interview schedules for key positions across Europe

     

Other

  • Performs other related tasks as assigned by management

  • Complies with Marriott International and policies and procedures and local Standards

  • Some travel may be required
